The privacy of your data — and it is your data, not ours! — is a big deal to us. In this policy we lay out what data we collect and why, how your data is handled, and your rights with respect to your data. We promise we never sell your data: never have, never will.
Our guiding principle is to collect only what we need. Here's what that means in practice:
When you sign up, we ask for your email address so you can access your account and so we can send you essential product information. We will only send you marketing or newsletter emails with your consent. We never sell your personal information to third parties.
If you subscribe to a paid plan, payment is handled by our payment processor, Paddle. Your full credit card number is submitted directly to Paddle and does not hit SlayScribe servers. We store a record of the transaction for account history, invoicing, and billing support.
We store the files you upload and the transcripts we generate so you can access and re-export them from your account. To produce a transcript, the audio is sent to OpenAI (Whisper) solely to generate the text. We keep your content while your account is active, subject to the audio retention rule below. If you delete an item or your account, it is removed as described under Data retention.
On free accounts, the original uploaded audio is automatically deleted around 30 days after a file is transcribed; the transcript text and timestamps stay in your account. On Pro, your audio is kept for as long as your account is active so playback always works.
We log IP addresses used to sign up and to access accounts for security and fraud-prevention purposes, and we keep this data for as long as your account is active.
We collect basic information about your browsing activity (such as browser and operating system version, pages visited, and load times) for analytics and to improve the product. We use first-party cookies to keep you signed in and remember preferences. You can block cookies in your browser settings, although parts of the Services may not work if you do.
When you email us with a question or for help, we keep that correspondence, including your email address, so we have a history to reference if you reach out again.
To provide the Services you've requested. We use a small number of third-party subprocessors to run SlayScribe — including OpenAI (transcription), Paddle (payments), and our hosting and storage providers. They only process your data to help us provide the Services to you.
To help you troubleshoot or squash a software bug, with your permission. If we ever need to access your content to help with a support case, we will ask for your consent first. No human at SlayScribe looks at your content except for limited purposes with your express permission, or in rare cases where a technical error requires manual intervention.
When required under applicable law. We only preserve or share customer data if compelled by a legally binding order. Where permitted, our policy is to notify affected users before disclosing data.
Finally, if SlayScribe is ever acquired by or merges with another company, we'll notify you well before any of your personal information is transferred or becomes subject to a different privacy policy.
We strive to apply the same data rights to all customers, regardless of location. These include the right to know what we collect, the right to access your information, the right to correct it, the right to have it erased, the right to restrict or object to processing, the right to data portability (you can export your transcripts at any time), and the right to complain to a supervisory authority. Many of these can be exercised by signing in and updating your account, or by emailing us at support@slayscribe.com.
All data is encrypted via SSL/TLS when transmitted between our servers and your browser, and database backups are encrypted. We go to lengths to secure your data at rest as well.
When you delete a transcript, both the transcript and its stored audio are permanently removed from our active systems immediately. Residual copies in encrypted database backups age out on our hosting provider's rolling backup schedule.
When you delete your account, all of your data — transcripts, stored audio, folders, and job records — is permanently and immediately erased from our active systems, again subject only to backups aging out. Canceling a paid subscription on its own does not delete your content: it stops billing and your transcripts remain available on the free plan. To remove your data, delete your account.
We keep other information only for as long as necessary for the purposes for which it was collected, or as required to comply with our legal obligations.
Our Services are operated using infrastructure that may be located in the United States and other countries. If you are located outside those countries, please be aware that information you provide will be transferred to and stored there. By using the Services, you consent to this transfer.
We may update this policy as needed to comply with relevant regulations and reflect new practices. Whenever we make a significant change, we will refresh the date at the top of this page.
